    Job Overview:

    We are seeking an experienced and highly organized Office Manager to oversee the day-to-day administrative and operational functions of our home care agency. As the Office Manager, you will play a key role in supporting the efficient operation of our office, managing staff, and ensuring our clients receive the highest level of care.     Key Responsibilities:

    Office Management:

    • Oversee the daily operations of the office, ensuring it runs efficiently and effectively.
    • Manage office supplies, equipment, and ensure all documentation is up-to-date.
    • Maintain office schedules, appointments, and coordinate meetings as needed.
    • Develop and implement office procedures and policies to improve efficiency.

    Staff Supervision:

    • Supervise administrative staff, ensuring proper training, development, and performance management.
    • Schedule and coordinate staff shifts, ensuring adequate coverage and compliance with care plans.
    • Handle employee relations, including conflict resolution, and maintain a positive work environment.

    Client and Caregiver Support:

    • Act as the point of contact for client inquiries, concerns, and complaints, addressing them in a timely and professional manner.
    • Collaborate with caregivers to ensure they have the resources and support needed to deliver high-quality care.
    • Assist in the onboarding and training of new caregivers and ensure compliance with company policies and procedures.
    • Coordinate client care schedules and service updates, ensuring care plans are followed.

    Financial and Billing Support:

    • Assist with billing and invoicing clients, ensuring accuracy and timely submission.
    • Monitor expenses and budget to ensure cost efficiency.
    • Ensure client records are kept accurate and in compliance with regulatory requirements.

    Compliance and Documentation:

    • Ensure that all office practices are compliant with state and federal regulations (e.g., HIPAA, OSHA).
    • Maintain accurate, up-to-date client records and ensure all necessary documentation is completed properly.
    • Assist with audits, reviews, and inspections as needed to ensure compliance with industry standards.

    Qualifications:

    Education:

    • High school diploma or equivalent required; Associate’s or Bachelor’s degree in healthcare administration, business, or a related field preferred.

    Experience:

    • Minimum of 2-3 years of experience in an office management or administrative role, preferably in the home care or healthcare industry.
    • Experience with client care scheduling, staff supervision, and basic billing processes.

    Skills:

    • Strong organizational and time-management skills with the ability to prioritize tasks.
    • Excellent verbal and written communication skills.
    • Ability to work under pressure and handle multiple tasks simultaneously.
    • Proficiency in Microsoft Office Suite and office management software; familiarity with scheduling and billing systems is a plus.

The Caregiver Supervisor will be responsible for overseeing, training, and supporting a team of caregivers to ensure the delivery of exceptional care to our clients. This role involves both direct supervision and hands-on support of caregivers to ensure that all care plans are followed and that clients receive the highest level of personalized care in their home environment.

     

    Key Responsibilities:

    Caregiver Supervision:

    • Oversee the daily activities of caregivers, ensuring they provide compassionate and high-quality care to clients.
    • Regularly assess caregiver performance, providing feedback and addressing any issues or concerns.
    • Conduct regular one-on-one meetings with caregivers to review care plans, performance, and provide coaching as needed.

    Training and Development:

    Job Overview:

    We are seeking a qualified and dedicated Alternate Administrator to support the overall management and operations of our home care agency. The Alternate Administrator will work alongside the primary Administrator to ensure compliance with state and federal regulations, improve operational efficiency, and maintain high standards of care for our clients. This role is critical in ensuring continuity of care and operational consistency in the absence of the primary Administrator.


    Key Responsibilities:

    Administrative Oversight:

    • Assist the Administrator in overseeing the day-to-day operations of the home care agency, ensuring the agency's policies and procedures are followed.
    • Manage office functions, including staff coordination, compliance management, and general administrative tasks.
    • Act as the Administrator in their absence, ensuring operations continue smoothly and all regulatory requirements are met.

    Compliance and Regulatory Duties:

    Key Responsibilities:

    • Provide personalized, non-medical support including companionship, light housekeeping, meal preparation, medication reminders, grooming assistance, and transportation as needed.
